Application

The Recruiting module has a web facing form that can be used by applicants. This can be linked to other on-line recruiting sites.

The information from the applicant is automatically loaded into the system then routed to the correct department.

Recruiting

 

 

Hiring managers can see at a glance the following:

  • Who has applied
  • What is that status in the recruiting cycle
  • How many applicants for each position

By clicking on the row/column headers, the Applicant list will be automatically sorted.

When an applicant is set to Onboarding Required, their information is automatically loaded into the Onboarding module.

Managers can also request that the job is posted to am on-line service.

 


Onboarding

Automate hiring documents, complete with electronic signature.


The main Onboarding screen show that status of all applicants at the department level. A company view is available in the HR Admin screen.

The display also shows how many employees (hired and Inactive) are in the department.

In addition to recruiting, A new employee can also be started in this screen. This is good for walk-in candidates

Managers can click on an employee name and it will open up and show their overall status.

Employee Status

When the manager clicks on the new Employee name, their status screen is shown.

Here you can quickly check on which parts of the onboarding a new employee has completed.

In the Employee info screen data is collected for the employee record, W4 and I-( forms. These forms are auto-populated and the employee can sign them on-line. A copy is retained for their employee record.

Once all of the Onboarding steps are completed, the employee is added to the payroll.

A centralized, flexible system of record for all your employee data.


Employee Dashboard

The Employee dashboard gives an overview of the department resources. Here you can see the employees in the department.

You can also see the overall attendance percentages if you are using the Clock In/Out capability of Simply HR.

By clicking on the Employee list you get a more detailed view of the employees.

You can also click on the employee name to review their HR record.

An inactive employee is one that has not clocked in in the previous 7 calendar days.

Employee Status

The Employee list shows each of the employees in the group.

This list also shows their employee contact information – email and phone number.

The display also shows their individual attendance record. Clicking on an Employee will show their HR record.

 


Scheduling

Generate shift or project schedules that have ties directly to time keeping and availability.


Scheduler

The Scheduler show the actual hours by the employees against the plan for the week. The bar chart shows the total hours, Plan vs Actual.

The chart shows the number of employees and their hours. The figures in Red show actual exceeding plan.

In this screen you can also view previous schedules. Plus you can also create one for the coming week.

These schedules are stored in the system so planning performance can be reviewed.

 


Time Keeping

Manage your employees time by location or by project.


Clock In/Out

Employees can clock in/out using a separate screen. This can be done using a tablet for example.

If the table is off-line, the clock in/out data is stored locally and uploaded when a network connection is next available.

Employees cannot exit this screen. However, if the need arises, a manager can get back to the dashboard
using the back button. They will have to login with a valid username and password.

Time Card

The Timecard Management screen shows which employees have clocked in/out for the day. This can either be entered manually by the manager, or by the employee using the Clock In/Out feature. The Date can be changed to view previous Clock in/out history.

The View Attendance Report button will allow a manager to download a spreadsheet. This will show the attendance of one, or more, employees for a designated time period.

Time Card Edits

In cases where the employee has not been able to Clock in/out correct, i.e. forgot to clock out, the manager can edit their time card.

 


HR Administration

Manage your employees time by location or by project.


Main Dashboard
As well as managers, HR Administrators have a special dashboard for the company. This shows employee information for all departments.

Employee Hired/Terminated can be viewed for each department. Plus the hours vs plan can also be reviewed.

A list of new hires is continually generated. This can be reviewed and download at any time.

A special report is compiled if employee data is changes. This is used to review the employee HR changes.

In each case the report is cleared after it is download. However, previous reports are archived for future reference.

Payroll

A payroll report can be generated for a specified period for the whole company, a department, or a single individual. This can be downloaded for HR Processing
